ProjectPro provides Job/Project purchasing capabilities that enable users to purchase directly for jobs. Inventory may also be consumed against jobs for items maintained in your warehouse. Job purchasing may include retention accounting. Purchasing of entry types of not only G/L Accounts and Items but also Resources. ProjectPro uses Resources on Purchase Orders for Subcontract work as well.

ProjectPro as project management and accounting software has enhanced the Job purchasing process by providing the option for “Job Material Planning” which maintains a list of all items needed to be purchased for the job by phase, order dates, and required on job dates.  The Job Material planning processes will automatically suggest items to be purchased and will create the Purchase Orders as well.

Can ProjectPro automatically create job purchase orders?

Yes, you can create purchase orders automatically through Requisition Worksheet by selecting the job on our project management software in construction. The Req. Worksheet will suggest vendors based on item cards and will create and issue the purchase orders.

Can I purchase Resources through a purchase order?

Yes, ProjectPro has added the ability to purchase resources typically used for equipment rentals or subcontractors through purchase orders.

How do I see Open Purchase Orders from the jobs?

You can see the Open Purchase Order values on each Job Card as “Committed Cost to Job”. If you drill down on that value you will see all Open items on the open purchase orders.

How does ProjectPro handle progress billings that are rejected or unapproved by customer or field engineers?

ProjectPro provides the ability to create a new “Version” of the job billing. This enables our users to create a revised job billing and still keep the same “Requisition No.” So the customer only sees the new correct billing document. If the job billing was already posted there will be a credit memo to reverse the original invoice. User selects the process there is no re-keying of information necessary.

How can I tell what materials and other items have been delivered to the job site?

You can use the Job Material Worksheet available on our accounting software for construction to show what items have been purchased for the job, items received, items staged for delivery, and what has been delivered to the job site from both vendors and out of inventory stock.

How do I handle Assigning “Pay-When-Paid” through Purchase Order and Vendor Purchase Invoice?

You can easily select the Draw (Pay-When-Paid) from the list and assign to the purchase order. The Draw No. can be changed if necessary at the time you are posting the Vendor Invoice. And for Posted Purchases, you can edit the Draw No. (Pay-When-Paid) as needed with permissions to change.

How do I create approval levels for Purchasing?

Users can set up through the Approval Setup to establish which users can approve up to what dollar amounts. This can be enhanced further by using the Microsoft Work Flow to create a special approval process as needed.
