These billings are commonly issued when a project has a long duration, so that the contractor can obtain sufficient funding to support its operations. Before starting a progress billing, user must check that the Project has been set up with the appropriate Planning Lines.<\/p>\n<p><b id=\"1\"><a name=\"_Toc14413989\"><\/a>PROGRESS BILLING<\/b><\/p>\n<p>To create a progress billing, you must have a project with \u201cBillable\u201d or \u201cBoth Budget and Billable\u201d planning lines. You must also indicate the Progress Billing Method as Unit Billing, Percentage Billing, and Lump Sum Billing (Unit, %, and L\/S).<\/p>\n<p><b><u>Note:<\/u><\/b> If you are using either Percentage or Lump Sum Billing methods the quantity is always \u201c1\u201d. Variable quantities can only be used when you are using Unit Billing Methods.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-1.png\" alt=\"null\" \/><\/p>\n<p>You can also define the Revenue Category for the planning lines, if required.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-2.png\" alt=\"null\" \/><\/p>\n<p>If retention is applicable to your Project, enter it on the project card in the \u201cDefault Project Retention\u201d field. Make sure you have entered the \u201cContract Date\u201d for this project as well, see below screenshot.<\/p>\n<p><b><u>Note:<\/u><\/b> The Contract Date is mandatory and used to indicate whether this Project card and billing items represent a current month change order or a previous month\u2019s billing item on the AIA G702. The Contract Date should always be prior to your first Progress Billings Requisition Date. <\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-3.png\" alt=\"null\" \/><br \/>\n<\/p>\n<p>Create a progress billing by clicking on Process &#8594; Progress Billings.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-4.png\" alt=\"null\" \/><\/p>\n<p>For first requisition, click on \u201cNew\u201d from the Project Progress Billing List page.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-5.png\" alt=\"null\" \/><\/p>\n<p>Depending on your Projects Setup, you may find that once created, ProjectPro will automatically assign a No. to your Progress Bill. In most cases this No. will match your Project No. However, depending on your setup, you may be required to enter a No. in this field. <\/p>\n<p>In this example, the No. has been filled in to match the Project No. You will also see that Requisition No. has automatically been filled in as \u201c1\u201d since this is first billing.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-6.png\" alt=\"null\" \/><\/p>\n<p><b>General Fast Tab<\/b><\/p>\n<p>To complete the General tab of the Progress Billings you will need to fill in each of the fields detailed below.<\/p>\n<table class=\"table table-striped\">\n<tbody>\n<tr>\n<td ><strong><b>FIELDS<\/b><\/strong><\/td>\n<td><strong><b>DESCRIPTION<\/b><\/strong><\/td>\n<\/tr>\n<tr>\n<td><strong><b>No.<\/b><\/strong><\/td>\n<td>Enter a progress billing number or enter the Project number as a reference.<\/p>\n<p>To auto-populate the Progress Billing no. as the Project No., turn ON the option \u201cFirst No. for project to default as Project No.\u201d on the Progress Billing fast tab of the Projects Setup.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Requisition No.<\/b><\/strong><\/td>\n<td>The requisition number automatically becomes \u20181\u2019 for the first requisition billing and will increase by one with each new requisition.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Version No.<\/b><\/strong><\/td>\n<td>The version number starts as \u20180\u2019 for the first version. The purpose of the version number is to track changes that have been made because of the project owner, architect, or engineers\u2019 requirements prior to acceptance.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Project No.<\/b><\/strong><\/td>\n<td>The Project No. will automatically fill in from the Project Card.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Project Name<\/b><\/strong><\/td>\n<td>The Project Name will automatically fill in from the Project Card from the \u201cDescription\u201d field.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Draw No.<\/b><\/strong><\/td>\n<td>The \u201cPay when Paid\u201d number that gets assigned to the Customer Sales Invoice and Vendor Purchase Invoice. If you are not using Draw No., you can leave this field blank.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Customer No.<\/b><\/strong><\/td>\n<td>The Customer No. will automatically fill in from the Project Card.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Customer Name<\/b><\/strong><\/td>\n<td>The Customer Name. will automatically fill in from the Project Card.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Manager<\/b><\/strong><\/td>\n<td>The Manager ID No. will automatically fill in from the Project Card.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Manager Name<\/b><\/strong><\/td>\n<td>The Manager Name will automatically fill in from the Project Card.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Person Responsible<\/b><\/strong><\/td>\n<td>The Person Responsible ID No. will automatically fill in from the Project Card.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Person Responsible Name<\/b><\/strong><\/td>\n<td>The Person Responsible Name will automatically fill in from the Project Card.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Round Amounts<\/b><\/strong><\/td>\n<td>Toggling this ON will result in billing values being rounded to the neared whole dollar.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Final<\/b><\/strong><\/td>\n<td>This can be used to indicate that the requisition has been accepted by the Project owner or representative. Once a progress billing is set as Final, you cannot create anymore Revisions of that requisition.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Multiple Retention % on Lines<\/b><\/strong><\/td>\n<td>If this is True then, it will allow you to put in different Retention % or values at the Progress Billing Line level.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Owner Contact<\/b><\/strong><\/td>\n<td>If you have indicated an Owner Contact for Billings, their name will appear here.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Owner Contact Code<\/b><\/strong><\/td>\n<td>Owner Contact ID will automatically fill in.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Arch\/Eng. Contact<\/b><\/strong><\/td>\n<td>If you have indicated an Architect or Engineering Contact, their name will appear here.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Arch\/Eng. Contact Code<\/b><\/strong><\/td>\n<td>Architect or Engineer Contact ID will automatically fill in.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Status<\/b><\/strong><\/td>\n<td>Each requisition has a status which indicates whether the billing is \u2018Open, Invoiced, Accepted, Paid, or Void.\u2019<\/p>\n<p>Status is automatically updated to invoiced when sales invoice is created or if a new version is created it automatically voids.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Document No.<\/b><\/strong><\/td>\n<td>Once the progress billing is invoiced through a Sales invoice, the document number will indicate the Sales Invoice or Sales Order No. created.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Posted Sales Invoice No.<\/b><\/strong><\/td>\n<td>Specifies the posted document no. of the invoice posted against the requisition.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Requisition Date<\/b><\/strong><\/td>\n<td>This field is for the date this requisition is being prepared.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Period To<\/b><\/strong><\/td>\n<td>This field is for the date in which is to indicate the work through period. Such as, work performed through the period ending 6\/30\/21.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Retention Reduction and Invoicing<\/b><\/strong><\/td>\n<td>Enable this Boolean if the Retention% is reduced and further billing is to be done on same requisition.<\/td>\n<\/tr>\n<tr>\n<td ><strong><b>Invoiced Currency Code<\/b><\/strong><\/td>\n<td>This field presents the FCY Currency Code from the Project card\u2019s \u201cInvoiced Currency Code\u201d. This will create your sales invoice in FCY.<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<p><b id=\"2\">Get Billings Function<\/b><\/p>\n<p>Once you have filled in the necessary fields above, the next step is to pull in your billing lines from the Project Planning Lines via \u201cGet Billings\u201d function.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-7.png\" alt=\"null\" \/><\/p>\n<p>The \u201cGet Contract for Progress Bill\u201d window will pop up, as below where the project no. gets pre-populated, and you just need to click on OK to bring in the billing lines.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-8.png\" alt=\"null\" \/><\/p>\n<p>This will update the progress billing sub form with the billable (including Both Budget and Billable) planning lines available for a project.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-9.png\" alt=\"null\" \/><\/p>\n<p>Here, you can enter the percentage of each line you would like to bill for this requisition under \u201cQuantity\u201d column which will auto calculate billable amount under \u201cWork amount\u201d column.<\/p>\n<p>Since this is the first requisition, there will be no value in \u201cWork Previous Billing\u201d column.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-10.png\" alt=\"null\" \/><\/p>\n<p><b><u>Note:<\/u><\/b> If you are billing in units, you will enter the number of units to be billed in the Quantity column. <\/p>\n<p>If you have identified a retention percentage for your project on the Project card, you will see that each line automatically reflects the percentage that has been entered and the appropriate retention has been calculated. <\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-11.png\" alt=\"null\" \/><\/p>\n<p>Alternatively, if you did not enter retention on the Project Card, you can enter the percentage in the \u201cRetention\u201d fast tab located below the Progress Billing Sub form, or you can enter the percentage for each line individually, if it varies.<\/p>\n<p><b>Retention Fast Tab<\/b><\/p>\n<p>The fields under this fast tab are used for entering the percentage of retention for both \u201cWork Retention\u201d and \u201cStored Materials Retention\u201d. If the Default Retention % is defined on the Project card, then these fields will get updated automatically.<\/p>\n<p>If you wish to apply retention percentages for each line item individually, then leave the Retention Fast Tab fields blank and apply percentages on each billing line item.<\/p>\n<p><b><u>Note:<\/u><\/b> The individual retention percentage does not apply if you are using \u201cTaxable\u201d progress billings. In that case, only one retention percentage can be applied.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-12.png\" alt=\"null\" \/><\/p>\n<p>If you are satisfied with your progress billing at this point, you can create your Sales Invoice (We will explain this process below).<\/p>\n<p><b id=\"3\">New Version Function<\/b><\/p>\n<p>Many a time, companies create their progress billings and submit them to the owner or general contractor for review before invoicing. This is commonly known as \u201cpencil copies\u201d. If your company is also following this method and you receive requests for changes before you can submit your final invoice, then you perform this in progress billings via \u201cNew Version\u201d function for that requisition. <\/p>\n<p>From the Progress Billing Ribbon, click on Process &#8594; New Version.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-13.png\" alt=\"null\" \/><\/p>\n<p>The purpose of creating a new version is to maintain an audit trail of the changes you have made to progress billing. <\/p>\n<p>Once you select \u201cNew Version\u201d you will receive a message stating \u201ca new version has been created. The status of your original version has also been marked Void\u201d.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-14.png\" alt=\"null\" \/><\/p>\n<p>Now you will see you are working on Requisition 1, Version 1.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-15.png\" alt=\"null\" \/><\/p>\n<p>Initially the Progress Billing Subform remains unchanged. The billing percentages entered on Version 0 get carried over where you can make any necessary adjustments that are required. As an example, Line 1 billing has been reduced from 10% to 5% and Line 2 remains unchanged.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-16.png\" alt=\"null\" \/><\/p>\n<p>Once the required fields on Progress Billing have been entered, you can proceed to create a sales document.<\/p>\n<p><b id=\"4\">Make Sales Document Function<\/b><\/p>\n<p>For creating Sales Invoice, Click on Process &#8594; \u201cMake Sales Document\u201d.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-17.png\" alt=\"null\" \/><\/p>\n<p>Select \u201cYes\u201d when prompted for confirmation of document creation. <\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-18.png\" alt=\"null\" \/><\/p>\n<p>You will receive confirmation of the Sales documentation being created, and the assigned sales invoice number. <\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-19.png\" alt=\"null\" \/><\/p>\n<p>The Status of this progress billing will now get changed to \u201cInvoiced\u201d and you will notice the Sales Invoice number that was assigned above has now been filled in as Document No.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-20.png\" alt=\"null\" \/><\/p>\n<p>Depending upon your internal process, you can continue to post your Sales Invoice from the progress bill, or you can visit the Sales Invoice page and post from there.<\/p>\n<p>To post from the Progress Billings page, click on Process &#8594; \u201cView Sales Document\u201d.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-21.png\" alt=\"null\" \/><\/p>\n<p>You will be taken to the Sales Invoice. <\/p>\n<p><b><u>Note:<\/u><\/b> Before posting the sales invoice, verify if the correct information has been updated from the requisition. <\/p>\n<p>On the General fast tab, you will see Posting Date has automatically been marked with the \u201cRequisition Date\u201d. This can be modified if you do not want to keep the posting date same as requisition date.<\/p>\n<p>On the Lines fast tab, you will see each of your billable lines from the Progress Billing Subform and the corresponding total for each.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-22.png\" alt=\"null\" \/><\/p>\n<p>On the Retention fast tab, you will see 10% has been calculated and the retention due date is automatically filled in according to Projects Setup for retention. <\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-23.png\" alt=\"null\" \/><\/p>\n<p>Post the invoice using the appropriate option under the Posting section of the ribbon. <\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-24.png\" alt=\"null\" \/><\/p>\n<p>Once the sales invoice is posted, you can go back to the progress billing requisition and run different reports and AIA documents.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-25.png\" alt=\"null\" \/><\/p>\n<p><b><u>Note:<\/u><\/b> To use AIA documents, you need to fill in your AIA Form Code and Expiration date on the Projects Setup page. <\/p>\n<p>Two of the sample reports are shown as below:<\/p>\n<p><b>1. Progress Invoice Report<\/b><\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-26.png\" alt=\"null\" \/><br \/>\n<br \/>\n<img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-27.png\" alt=\"null\" \/><\/p>\n<p><b>2. AIA G702 Report<\/b><\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-28.png\" alt=\"null\" \/><\/p>\n<p><b>3. AIA G703 Report<\/b><\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-29.png\" alt=\"null\" \/><\/p>\n<p><b id=\"5\">New Requisition Function\u2013 Creating A Subsequent Requisition<\/b><\/p>\n<p>The next requisition can be created from the last requisition that you have created. The Progress Billings List page shows all the prior requisitions, including any voided versions.<\/p>\n<p>Open your last invoiced requisition from the list. Here, the last requisition is Requisition 1, Version 1. <\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-30.png\" alt=\"null\" \/><\/p>\n<p>From the Progress Billing ribbon click on Process &#8594; New Requisition.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-31.png\" alt=\"null\" \/><\/p>\n<p>The \u201cRequisition No.\u201d will get increased to 2 where Version No. is 0. You are now working on Requisition 2.0 <\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-32.png\" alt=\"null\" \/><\/p>\n<p>Enter the new Requisition and Period to Dates. Notice your Progress Billing Subform reflects your invoiced amounts from Requisition 1 in the \u201cWork Previous Billings\u201d column.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-33.png\" alt=\"null\" \/><\/p>\n<p>Enter the percentages that you would like to bill for this Requisition in the Quantity column. The \u201cTotal\u201d column will now reflect the total amount to be billed to date on this project <b>(Work Previous Billings + Work Amount = Total)<\/b>.<\/p>\n<p>From here you will follow the same process as above to create and post your Sales Invoice.<\/p>\n<p><b id=\"6\">100% Billing<\/b><\/p>\n<p>On completion of the contract including utilization of Store Materials (if any, the complete concept explained in next chapter), you need to bill 100% on all the lines.<\/p>\n<p>On the last requisition, enter 100 in the Quantity column to bill the full value excluding the retention. Also, if stored materials are included then you need to change the \u201cStored Materials Amount\u201d to 0 since the complete utilization has been done, see example below.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-01-progress-billing-process-34.png\" alt=\"null\" \/><\/p>\n<p>Once the details are entered, the sales invoice can be generated and posted.<\/p>\n<p><b id=\"7\">Final Retention Billing<\/b><\/p>\n<p>Once the whole project is approved the remaining Retention% on all the lines can be billed to the customer.<\/p>\n<p>From the last requisition where everything is billed to complete 100%, create a New Requisition.
