Projects Setup<\/a><\/td>\n<\/tr>\n<tr>\n<td><a href=\"#3\">2. Process<\/a><\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<p><b id= \"intro\">INTRODUCTION<\/b><\/p>\n<p>Open Project Backlog indicates the billing value which has not been invoiced till date. This can be calculated by subtracting the Invoiced Price from the Contract Price. The Open Project Backlog can be created by running the batch for all projects or for a certain set of Projects. It can also be created by running the batch individually for each project.<\/p>\n<p><b id=\"1\"><a name=\"_Toc14413989\"><\/a>OPEN PROJECT BACKLOG<\/b><\/p>\n<p><b id=\"2\">1. Projects Setup<\/b><\/p>\n<p>The Project Setup has two setups available for Open Project Backlog feature:<\/p>\n<p><b>a) <u>Enable Project Backlog Feature<\/u> \u2013<\/b> If enabled, the closing of \u201cParent\u201d or \u201cMaster\u201d Projects will be dependent upon whether all its sub-level Projects are closed prior. The user will be alerted if there exists \u201cOpen\u201d sub-level Projects, preventing the closing until all sub-level Projects are set to \u201cCompleted\u201d. <\/p>\n<p><em><u><b>Note:<\/b><\/u> The \u201cManager Status\u201d of the project must be set to \u201cRunning\u201d, for it to be included in the open project backlog calculations.<\/em><\/p>\n<p><b>b) <u>Include Sub-levels in Project Backlog Calcs<\/u> \u2013<\/b> If enabled, the Master Project will show combined value (Master + Sub-Levels) under the \u201cOpen Project Backlog\u201d column on the Projects list, while the sub-levels will be shown with their individual Backlog values as well.<br \/>\n<em><u><b>Note:<\/b><\/u> The \u201cManager Status\u201d of the project must be set to \u201cRunning\u201d, for it to be included in the open project backlog calculations.<\/em><\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-08-open-job-backlog1.png\" alt=\"null\" \/><\/p>\n<p><b id=\"3\">2. Process<\/b><\/p>\n<p>To demonstrate the functionality, a Project, a Change Order, and a Sub-Project is created with value $70,000, $15,000, and $5,000 respectively.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-08-open-job-backlog2.png\" alt=\"null\" \/><\/p>\n<p><b>a) Conditions:<\/b><\/p>\n<p>For Updating the values under \u201cOpen Project Backlog\u201d column, certain conditions must be followed:<\/p>\n<p>1. \u201cManager Project Status\u201d field must be set to \u201cRunning\u201d on the General fast tab of the Project card.<br \/>\n2. \u201cStatus\u201d field must be set to \u201cOpen\u201d on the Constants\/Manager fast tab of the Project card.<br \/>\n3. The Open Project Backlog batch can be from,<br \/>\na) Project card ribbon, Actions &#8594; Run Open Project Backlog &#8594; Run Open Project Backlog<br \/>\nb) Search \u201cCalculate Open Project Backlog\u201d.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-08-open-job-backlog3.png\" alt=\"null\" \/><\/p>\n<p>A window will open as below. The user can run the batch wide open for all projects or apply the filter for a specific project to update the values.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-08-open-job-backlog4.png\" alt=\"null\" \/><\/p>\n<p>Apply the filters as required and click on OK to run the batch. If all the conditions mentioned above are fulfilled, then it will update the values in the \u201cOpen Project Backlog\u201d and column on Projects list.<\/p>\n<p>According to the example taken, certain billings were done and as per the formula for calculating the open project backlog (Contract Price \u2013 Invoiced Price),<\/p>\n<p>1. Master Project will show the Open Project Backlog value as $48,500, which includes the value of Master Project $40,000, Change Order $3,500, and Sub-Project $5,000.<br \/>\n2. The Open Project Backlog value for Master Project shows the combined value due to the Projects Setup \u201cInclude Sub-Levels in Project Backlog\u201d.<br \/>\n3. Along with this, the batch also updates the value in \u201cBillable\/Invoiced Difference\u201d column using the same formula. The only difference is that this column will always show the value for each individual project.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-08-open-job-backlog5.png\" alt=\"null\" \/><\/p>\n<p>The details get updated on the Project card as well, see below highlighted.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-08-open-job-backlog6.png\" alt=\"null\" \/><\/p>\n<p><b>Last Run Open Project Backlog Value \u2013<\/b> This is the same value that gets updated on the Projects list.<\/p>\n<p><b>Last Run Open Project Backlog \u2013<\/b> Specifies the date the Open Project Backlog batch was last run.<\/p>\n<p><b>Open Project Backlog Updated \u2013<\/b> Specifies if the open project backlog has been cleared for both the master and sub-level projects. This auto-sets to True, if Last Run Open Project Backlog Value field shows zero value on calculating the open project backlog.<\/p>\n<p><b>b) Closing a Project:<\/b><\/p>\n<p>As per the Projects Setup \u201cEnable Project Backlog Feature\u201d, you can close or update the Status to \u201cCompleted\u201d on a Master Project only if has no open sub-level projects available which have been run through by Open Project Backlog process.<\/p>\n<p>If still the user sets the status to \u201cCompleted\u201d, then for the Master Project system will give an error as below and will stop you from closing the project.<\/p>\n<p><img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-08-open-job-backlog7.png\" alt=\"null\" \/><br \/>\n<br \/>\n<img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-08-open-job-backlog8.png\" alt=\"null\" \/><br \/>\n<br \/>\n<img decoding=\"async\" src=\"\/user-guide\/wp-content\/themes\/userguide\/images\/ch-08-open-job-backlog9.png\" alt=\"null\" \/><\/p>\n","protected":false},"excerpt":{"rendered":"<p>Contents INTRODUCTION OPEN PROJECT BACKLOG 1.
